From a guest form to a full Butler Cockpit
A personal hotel experience starts long before the guest arrives at reception. The real question is: where does all that advance knowledge land, and who acts on it?
That is why Planet Polaris developed a Butler Cockpit: a digital environment where guest preferences and expectations are not only collected, but immediately turned into concrete actions for the hotel team.
Before arrival
The guest can share, in multiple languages:
- transfers and arrival details
- room, bed and pillow preferences
- children and babysitting
- restaurant and spa requests
- minibar preferences
- cultural activities and special occasions
- additional personal requests
Behind the scenes
Each stay generates a complete Butler File. Requests are translated into tasks for Housekeeping, Concierge, Food & Beverage, Spa, Room Service or Front Office. Team members assign, follow up and complete them. Guest profiles, shift handovers and management reporting make sure nothing gets lost between people or departments.
Preferences are treated as signals, not fixed rules. When they conflict, the cockpit surfaces the relevant context, and the final call deliberately stays with the team. The aim is not to automate hospitality, but to give people what they need to make better hospitality decisions.
Not only for hotels with butlers
The same approach works for any hotel with VIP guests, suites, returning clients, luxury leisure travellers, artists or executives. The name adapts, the technology does not: Guest Experience Cockpit, VIP Guest Desk, Pre-Arrival Planner or Guest Relations Hub. The principle stays the same: collect guest information centrally, make responsibilities visible and turn personal service into a manageable process.
And this is only the beginning: automated alerts, SLA tracking, mobile access, upsell reporting and recognition of returning guests are next.
